Managing Users and Permissions
NotedWP uses a capability-based system to control what each WordPress role can do with feedback. You configure these in Noted > Settings > Permissions.
Capabilities
Four capabilities govern access to NotedWP features.
Manage Reviews
Full control over all NotedWP functionality. Users with this capability can change settings, manage guest reviewers, and perform every other action in the plugin.
View Reviews
Allows the user to see the overlay on the front end and view all existing pins. Users with only this capability cannot change settings, but they can browse feedback and add replies.
Resolve Pins
Allows the user to change a pin’s status between open and resolved. This is useful for editors or team leads who triage feedback but do not need full admin access.
Export Reviews
Allows the user to access the export features, including CSV downloads and third-party integrations. Without this capability, export buttons and menu items are hidden.
Default Assignments
Out of the box, NotedWP assigns capabilities as follows.
- Administrator: Manage Reviews, View Reviews, Resolve Pins, Export Reviews (all four).
- Editor: View Reviews, Resolve Pins.
All other roles (Author, Contributor, Subscriber) have no NotedWP capabilities by default. You can grant them access at any time through the Permissions tab.
Changing Permissions
Go to Noted > Settings > Permissions. You will see a checkbox matrix with WordPress roles on one axis and NotedWP capabilities on the other. Check or uncheck boxes to grant or revoke capabilities, then click Save.
Administrator Protection
The Administrator role always has the Manage Reviews capability. This checkbox is locked and cannot be removed. This ensures at least one role always has full access to the plugin.
Guests and Permissions
Guest reviewers access the overlay through a share link, not through a WordPress account. They do not appear in the Permissions tab and do not need any WordPress capabilities. Guest access is managed via share link settings in Noted > Settings. For details, see Guest Access and Share Links.
